01 Purpose

Big Bull Technologies, LLC (“Big Bull Technologies,” “BBT,” “we,” “our,” or “us”) retains location-related administrative records only as reasonably necessary to provide Before the Call (“B4C”), support Customer operations, maintain platform security, and comply with applicable legal or contractual obligations.

This Location Data Retention Policy explains how location-related administrative records are retained, managed, and removed.

02 Our Philosophy

Location information should exist only as long as it provides administrative value.

Before the Call is designed to retain administrative records — not long-term location histories.

Our objective is to support accurate department recordkeeping while minimizing unnecessary retention of location-related information.

03 What Is Retained

When Station Presence Verification is enabled, B4C may retain administrative event records such as:

  • Arrival events
  • Departure events
  • Event timestamps
  • Associated approved department location
  • User identifier
  • Event source (Automatic or Manual)
  • Administrative adjustments
  • Audit history related to corrections

These records support organizational documentation and reporting.

04 What Is Not Retained

Before the Call is intentionally designed not to retain continuous location history. B4C does not intentionally maintain:

We do not retain

  • Continuous GPS tracks
  • Travel routes
  • Driving history
  • Speed history
  • Personal destination history
  • Off-duty movement records
  • General location timelines

Only administrative station presence events necessary to support authorized workflows are retained.

05 Retention During Active Accounts

Location-related administrative events remain available while the Customer account is active, subject to:

  • Department policies
  • Platform functionality
  • Administrative permissions
  • Applicable laws
  • Organizational recordkeeping requirements

Departments determine how these records are used within their organization.

06 Account Closure

Following account termination, location-related administrative records may be retained for a limited period to:

  • Complete requested exports
  • Resolve billing matters
  • Support account recovery requests
  • Comply with legal obligations
  • Protect platform security
  • Complete scheduled deletion processes

After applicable retention periods expire, records are scheduled for deletion or anonymization unless otherwise required by law or written agreement.

07 Audit History

To help maintain the integrity of administrative records, B4C may retain an audit history of authorized changes made to Station Presence Verification events. Audit information may include:

  • Original recorded value
  • Updated value
  • Date and time of the change
  • Authorized user making the change
  • Optional administrative notes or reason for the adjustment

Audit records help Departments maintain accurate administrative documentation and accountability.

08 Data Exports

Authorized Department Administrators may export location-related administrative records using available platform functionality or other supported methods. Exports may include:

  • Arrival events
  • Departure events
  • Administrative adjustments
  • Audit history
  • Administrative reporting

Export availability depends on platform capabilities and applicable permissions.

09 Customer Responsibilities

Departments are responsible for:

  • Understanding applicable records retention requirements
  • Exporting information when appropriate
  • Managing administrative access
  • Maintaining organizational records required by law or policy
  • Reviewing administrative records periodically

Public agencies may be subject to records retention laws that extend beyond the operational requirements of Before the Call.

10 Security

Location-related administrative records are protected using the same administrative, technical, and organizational safeguards applied throughout the Before the Call platform. Access is controlled through role-based permissions established by the Department.

11 Data Minimization

Big Bull Technologies seeks to minimize unnecessary retention of location-related information.

When records are no longer required for operational, contractual, legal, or security purposes, they are scheduled for deletion or anonymization in accordance with our internal data management practices.

Retention practices are periodically reviewed to support:

  • Customer needs
  • Security
  • Platform operations
  • Regulatory obligations
  • Industry best practices

As Before the Call evolves, retention practices may also evolve to better serve Customers while protecting privacy.

13 Changes to This Policy

Big Bull Technologies may update this Location Data Retention Policy from time to time.

Material changes will become effective on the published Effective Date after reasonable notice has been provided through the Services, our website, email, or another appropriate communication method.
