01 Purpose
Big Bull Technologies, LLC (“Big Bull Technologies,” “BBT,” “we,” “our,” or “us”) uses Artificial Intelligence (“AI”) within Before the Call (“B4C”) to assist Customers with administrative work.
This Administrative Intelligence & AI Policy explains how AI is used within the platform, the principles that guide its development, and the responsibilities shared by Big Bull Technologies and our Customers.
Our objective is to use AI in a way that improves administrative efficiency while preserving transparency, accountability, and human oversight.
02 Our AI Philosophy
Before the Call uses AI to support people — not replace them.
We refer to this approach as Administrative Intelligence.
Administrative Intelligence is designed to help departments spend less time on repetitive administrative work so they can spend more time serving their communities.
AI is a productivity tool. It is not a substitute for professional judgment, organizational leadership, or operational decision-making.
03 Intended Uses — and What AI Does Not Do
AI may assist with
- Drafting meeting minutes
- Summarizing meetings
- Creating administrative reports
- Drafting department communications
- Organizing documents
- Assisting with recruitment planning
- Generating fundraising ideas
- Drafting social media content
- Building training plans
- Organizing administrative records
- Generating checklists
- Summarizing policies and procedures
- Assisting with administrative research
AI is not intended to
- Dispatch emergency resources
- Direct emergency operations
- Manage incidents
- Create patient care documentation
- Make personnel decisions
- Provide legal advice
- Provide financial advice
- Provide medical advice
- Replace department leadership
- Replace board decisions
- Replace professional judgment
Available AI capabilities will evolve as the platform grows. Operational responsibility always remains with the Customer.
04 Human Oversight
Customers are responsible for reviewing AI-generated content before relying upon it.
AI output should be treated as a draft or recommendation rather than a final decision.
Departments should verify:
- Accuracy
- Completeness
- Organizational compliance
- Legal compliance
- Policy compliance
- Appropriateness for official use
Human review remains an essential part of every administrative workflow involving AI.
05 Transparency
We believe Customers should understand when AI is assisting them.
Whenever practical, AI-assisted features should clearly indicate that content has been generated or assisted by artificial intelligence.
We strive to explain AI capabilities honestly and avoid overstating what AI can do.
06 Accuracy
Artificial intelligence can generate incorrect, incomplete, outdated, or misleading information.
Although we continually improve our AI systems, we cannot guarantee that AI-generated output will always be accurate or appropriate for every situation.
Customers remain responsible for verifying information before using it in official department records or communications.
07 Privacy & Data Handling
Big Bull Technologies designs AI features with privacy and security in mind.
Information may be processed by AI systems only as reasonably necessary to provide the requested functionality.
Customer information is handled in accordance with our Privacy Policy, Data Ownership Policy, and applicable agreements.
We do not sell Customer Data used within AI-assisted features.
08 Fairness
We strive to develop AI features that support all Customers fairly.
Because AI systems can produce unintended bias or inaccurate results, we continually evaluate opportunities to improve quality, consistency, and reliability.
Customers should exercise appropriate judgment when reviewing AI-generated recommendations.
09 Security
AI features are developed as part of the overall security program for Before the Call.
Administrative, technical, and organizational safeguards are applied to help protect Customer information processed through AI-assisted workflows.

10 Continuous Improvement
Artificial intelligence continues to evolve rapidly.
Big Bull Technologies regularly evaluates improvements to:
- AI models
- Prompt engineering
- Administrative workflows
- Output quality
- Safety measures
- User controls
- Transparency
- Reliability
Our approach to AI will continue evolving as technology advances and customer needs change.
11 Customer Responsibilities
Customers are responsible for:
- Reviewing AI-generated content.
- Confirming factual accuracy.
- Protecting confidential information.
- Following organizational policies.
- Complying with applicable laws.
- Using AI features only for appropriate administrative purposes.
Customers remain responsible for all official records created using Before the Call.
12 AI Limitations
Artificial intelligence is designed to assist — not guarantee outcomes.
AI-generated content should not be relied upon as:
- Legal advice
- Medical advice
- Financial advice
- Tax advice
- Employment advice
- Emergency response guidance
- Incident command direction
- Operational decision-making
Departments should consult qualified professionals whenever appropriate.
13 Future Development
As Administrative Intelligence capabilities expand, Big Bull Technologies will continue evaluating:
